Winery Operations Coordinator

About The Winery: Established brand with high-scoring luxury wines, the winery has recently had a change of ownership and is positioning itself for future growth. 2019 is a very exciting year for the business as a brand-new winery is being constructed and a new team is being recruited to help transform this hidden gem of a brand into a primetime player in Napa.

Position Summary: The Winery Operations Coordinator will fill the vital role of being the intermediary between the production, sales & hospitality, and administrative departments. The main role is to provide administrate support to the production team and assist with all ordering, scheduling, and logistical needs. This position will also be responsible for managing inventory of all wine (in production and bottles) and managing the movement of inventory between winery, warehouses, and fulfilment center. The Coordinator is in charge of all DTC shipping and is responsible for proper management, follow up, and coordination of process. This position will require finely honed organizational skills and attention to detail as all software platforms, files, and reports will need to be meticulously maintained.

Responsibilities and Duties:
PRODUCTION:
•  Manage wine bottling logistics including ordering supplies, tracking shipments/deliveries, supply inventories, completion of bottling forms, submitting labels for COLA approval if needed, updating production forecast
•  Oversee documentation of all lab testing, blends, and tasting notes for creation of tech sheets
•  Manage all wine specific collateral and keep updated with new vintages
•  Create inventory reports for all wine in production process
•  Negotiate with suppliers on pricing, agreements, terms, etc. and keep updated list of costs
•  Issues purchase orders for any production supplies and manage inventory
•  Work with production team to calculate and record COGS for all wines
•  Provides process and cost improvement analysis as needed

DTC SHIPPING:
•  Manage all aspects of DTC shipping process: multiple daily checks of fulfilment portal, resolve address and compliance errors, manage weather holds, review returns, communicate to customers any delays or updates
•  Manage inventory levels at all locations and complete transfer requests as needed to ensure all sales and shipping locations are properly stocked at all times
•  Manage creation of new SKUs in all software platforms
•  Ensure accuracy of weekly inventory reports
•  Conduct month end inventory counts for onsite inventory locations
•  Track shipping packaging and insert inventory and reorder as needed

WINERY PROJECTS:
•  Remain in constant communication with sales and hospitality team and keep updated on all production, release, and inventory updates
•  Assist with planning of special events at the winery: responsible for coordination and logistics of vendors
•  Work with sales and hospitality team as necessary and be ready to jump in and host customer experiences if needed
•  Attend off-site events as assigned and professionally represent winery
•  Other projects and duties as assigned

Qualifications:
•  Bachelor’s Degree in business, management, or an equivalent experience
•  At least 4 years experience working in either operations, production, or administration for luxury winery
•  Knowledge of wine and wine production is strongly preferred
•  Strong communication skills with the ability to effectively communicate across all levels of an organization
•  Proficient in Microsoft Office including Word and Excel
•  Prefer experience with software platforms WineDirect and ShipCompliant
•  Meticulous organization skills and strong attention to detail
•  Natural self-starter and internally motivated to take ownership of role and see projects to completion with minimal supervision
•  Strong team player that is able to effectively collaborate with team to work towards accomplishing goals
•  Ability to multitask and work in a fast-paced environment with changing priorities and deadlines
•  Unwavering professionalism with the ability to always represent the brand in the best light on and off the clock
•  Valid California driver’s license and ability to drive between locations as required

Physical Requirements: Must be able to sit, walk, stand, and use office equipment for up to 8 hours per day. Must be able to bend, stoop, reach, and climb ladders, occasionally. Must be able to lift and carry up to 55 lbs.
