High-end boutique winery office headquartered in downtown Napa is looking to add to a multi-faceted and professional team. This role will focus on the administrative operations of the winery, as well as provide backup support to the management and retail sales team. The right candidate will be naturally organized, punctual, poses strong computer and communication skills, and maintain a positive attitude in fast paced environment.
Act as receptionist to maintain inbound and outbound calls, voicemail messages, and phone system.
Manage office supply orders, equipment, and janitorial vendors.
Perform full range of administrative support including: filing and record keeping, scheduling and administering tasting appointments, manage Accounts Receivables, and photocopy/scan documents.
Use PC based software (MS Word, Excel, Outlook) to complete administrative assignments.
Use company appointed software to process sales orders, reports, and maintain customer data.
Coordinate travel and restaurant reservations.
Assist with local errands including: deliver/pick-up packages, prepare/process shipment documents, and sample shipments.
Work with management team to develop brands, promote and sell wines, and improve tasting room operations.
Act as a liaison between tasting room customers and management team.
Other duties as assigned by management team.
Minimum two years administrative support experience required.
Valid driver’s license is required.
Able to work full-time and lift 40 pounds.
Strong proficiency in Microsoft Office (Word, Excel, Outlook).
Organized, punctual, and able to independently prioritize and problem solve.
Must have strong verbal and written communication skills.
Knowledge of a foreign language, AMS (Advanced Management Systems) winery software, and winery experience is a plus.
Hours: M - F (9 am - 5:30 pm)
