Winery Events Manager

Summary of job:

The winery has just completed the build-out of a beautiful modern space completely dedicated to hosting its guests for a variety of experiences. This individual will be responsible for promoting, booking and executing events at this iconic winery, both private and winery experiences. We encourage only well qualified event professionals to apply.

(sales, bookings & marketing)
-Respond to all calls and email inquiries regarding events in a timely and professional manner
-Meet with clients for site visits and sell the space
-Meet with clients to plan each event: typically 1-3 meetings (depending on event type)
-Put together estimates, proposals and contracts for each event
-Enter all customers (both active & prospective) into company database (Wine Direct & QuickBooks)
-Process all deposits and complete all final billing for events
-Work with accounting to ensure all event staff hours and gratuities are processed for each pay period
-Work with marketing on collateral pieces for events and marketing campaigns to grow and drive sales
-Work with marketing dept. on maintaining client relationships with follow up emails and sales opportunities
-Network with tourism organizations and encourage FAM tours
-Develop strategies to further grow the event business and department

(planning & management)
-Craft and direct private event opportunities, including price structure & programs
-Complete event management: staffing, vendor coordination, create timeline and itineraries for each event, create PEO’s, complete catering coordination with Culinary Director, day of execution that includes complete set up, service and clean up.
-Host tours/tasting experiences for event clients
-Work with Culinary Director on menu development and pricing for event programs
-Handle all equipment contracting, as necessary
-Maintain all vendor relationships
-Maintain and build client relationships
-Responsible for meeting operating costs and revenue goals
-Responsible for maintaining all current hospitality programs and hospitality manual
-Responsible for hiring, training and firing event staff
-Responsible for all decor at each event and creative design: including tables, chairs, linens, settings, floral, color schemes and themes for each event
-Work with graphic designer on schematics, floor plans and menu design and place cards
-Maintain inventory control of event equipment
