Communications Coordinator

Job Description:

The Communication Coordinator provides administrative support to the Vice President of Global Communications, and Marketing; and includes occasional administrative assistance for the Director of Digital Marketing and the Direct Marketing Manager. The role is responsible for all correspondence, documentation, appointments, travel planning, and expense reporting; as well as assisting with presentations and events for the Vice President. This role also supports company efforts in media and public relations, global partnerships and sponsorships, scheduling VIP visits to the winery and internal communications. This individual will facilitate project management with various creative and public relations agencies, and organize deliverables surrounding charitable donation packages, auction lot delivery, and other key initiatives.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Administrative Support for Vice President of Global Communications and Marketing
•  Review and respond to general incoming correspondence, emails, phone calls, and scheduling appointments on behalf of the Vice President.
•  Provide travel support to Vice President including detailed itinerary development, travel and meeting arrangements, and shipping of supplies before presentations, events, and conferences.
•  Complete monthly expense documentation and reporting for the Vice President.
•  Coordinate on and offsite meetings and hosted lunches and dinners led by the Vice President to include coordination with winery Guest Relations and Events, as well as coordinating external event venues, catering, décor and audio/visual needs.
•  Assist Vice President with maintaining database and tracking activity of global wine writers, influencers, and branded partners.
•  Coordinate gifts for Vice President's contacts and VIP guests.

Public Relations and Communications Support
•  Arrange for critical review tastings and press visits at the winery and coordinate photography requests for wine writers, bloggers, publishers, using the winery's Digital Asset Manager, and track within the customer relationship management system.
•  Generate press kits (digital and hard copy) and maintain up-to-date translations.
•  Track wine writer activity / scoring, and review publications for all articles and social media commentary relevant to Opus One using a digital public relations service. Initiate global press releases using this same system.
•  Fulfill deliverables for major auction lots, including itinerary development, travel arrangements, ground transportation, lodging, dining, experiences and gifting.
•  Schedule VIP guest visitor tours and tastings at the winery in collaboration with the Guest Experience Manager.
•  Coordinate all events sponsored by Vice President of Global Communications and Marketing.
•  Create formal event invitations and manage event RSVPs for charity dinners and partnership events. Communicate with guests about event details, preferences, and provide guidance for guests for the event.
•  Liaise with Direct to Consumer, Hospitality, and Events teams to ensure all information is clearly transmitted for seamless execution.

Internal Communications
•  Support in gathering cross departmental material and design, writing and publishing the winery's tri-annual company newsletter.
•  Prepare meeting minutes for departmental meetings.
•  Manage monthly Companywide Staff Meeting on Zoom. Coordinate translation of meeting and send to internal team. Coordinate set up needs (virtual and in-person) to include seating, AV, translation needs, calendar invites, and Zoom links.

QUALIFICATIONS
•  2-4 years' experience in Marketing, Communications, or Customer Service, preferably in the wine industry.
•  Experience in Executive Administration
•  BA/BS degree
•  Experience with Microsoft Office Suite.
•  Strong organization and communication skills.
•  Must be at least 21 years of age.
•  Flexibility in schedule to travel when needed.

PREFERRED QUALIFICATIONS
•  Experience in managing professional / executive communications and travel support within the luxury sector.
•  Experience collaborating with senior level business stakeholders.
•  Fluency in other languages.

Physical ability to perform tasks that may require prolonged standing, sitting, lifting up to 50 pounds, and other activities necessary to perform essential job functions, with or without reasonable accommodation.

COMPENSATION: Base Compensation Range: $26.00 - $36.00 USD hourly*
