We are seeking a highly organized and detail-oriented Wine Club and Event Coordinator to join our dynamic team Tuesday - Saturday! The ideal candidate will have excellent customer service skills, strong organizational abilities, and the capacity to work collaboratively with others. The Wine Club and Event Coordinator will assist with customer service and fulfillment of wine club subscriptions, inbound direct sales, AR follow up, and the planning and execution of all wine club activities and special events.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Assist with fulfillment of wine club shipments by updating invalid credit cards and account information prior to, and after wine shipment processing.
- Create content for wine club newsletters & notification emails: Verify that wines, pricing, tasting notes, and promotional information is up-to-date.
- Assist with processing wine club shipments, including completing fulfillment and incentive reports.
- Process inbound customer phone and email orders along with responding to customer inquiries in a timely manner.
- Oversee communications regarding outstanding wine pickups
- Follow up on wine club member shipping issues as needed.
- Assist with database management efforts for wine club members, ensuring all customer information is up to date: new customer entry, changes to account information, cancellations, will-call pickups, and alert notes.
- Assist with order exceptions for all wine club runs, i.e. resolve credit card declines, invalid cards and expired cards on a continual basis in order to maintain a clean and accurate member list.
- Provide high-touch treatment for wine club members through outstanding customer service.
- Assist with required monthly reports.
- Maintain social media presence.
- Update tasting room materials.
- Support VML and TH events
- Prepare reports for Senior Leadership Team and Administration as needed.
- Make updates to website as needed (Changes in experiences, availability of wines, current specials)
- Submit daily shipping and resolve issues as they arise. Make appropriate inventory movements for shipping.
- Perform other duties as assigned.
MINIMUM QUALIFICATIONS:
- First-hand knowledge, appreciation and passion for wine and wine-related topics
- Must be 21 years of age or older
- Excellent verbal and written communication skills
- Customer service focus – friendly, helpful demeanor
- Acute attention to detail with a high degree of accuracy
- Strong interpersonal skills – able to maintain excellent working relationships with co-workers, customers, vendors and shippers
- Strong time management and multi-tasking abilities
- Valid class C driver license, acceptable driving record and reliable, insured transportation
- Self-motivated, with a high level of accountability and productivity
- Able to work events and some holidays
- Able to work independently, problem solve, troubleshoot and have the ability to visualize the whole picture of event and marketing planning
- Current safe beverage server and food handling certification
EDUCATION AND EXPERIENCE:
- High School diploma or GED required. Associate’s or Bachelor’s degree preferred.
- Three years of tasting room and/or back office wine sales preferred.
LANGUAGE SKILLS:
- Fully proficient in the English language in both oral and written formats.
- Able to communicate in a professional manner at all times.
- Bi-lingual English/Spanish preferred.
MATHEMATICAL SKILLS:
- Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY:
- Ability to utilize good judgement and decision-making skills.
- Able to analyze information, make sound recommendations as needed and resolve issues as able.
COMPUTER SKILLS:
- Intermediate to expert level in the use of AMA/CRM/POS/Microsoft Office.
- Ability to use and manage data in Wine Direct preferred.
WORK ENVIRONMENT:
While performing the duties of this job, the employee is regularly working in a combination of an office and tasting room environment. Employees will work outdoors at times while serving guests and working at special events. The noise level in the work environment is usually low. Events may have a higher level of noise at times.

Employee is required to sit and stand for extended periods of time. May occasionally stoop, kneel, crouch and climb.
