Sales Operations Assistant

Job Summary:
We are seeking an organized, detail-oriented Sales Operations Assistant to support the day-to-day operations at our winery specifically in support of the trade. The ideal candidate will be the first point of contact for trade representatives including our broker sales network, distributor network, sales order processing, and all sales and marketing inquiries. In addition, the Sales Operations Assistant will provide essential support to various departments, including sales, marketing, production, and customer service. This role involves a mix of administrative tasks, customer service, and trade event coordination, ensuring smooth operations within our growing winery.

Key Responsibilities:

•  Reception & Communication:
o Answer distributor sales and logistics phone calls, emails, and handle inquiries with professionalism and efficiency.
o Greet trade visitors, trade customers, sales brokers and clients in a friendly and welcoming manner.
o Schedule all trade visit appointments, tours, and participation of the winery management team.

•  Administrative Support:
o Sales order processing through MHW and Park Street Importers computer platforms.
•  Process orders, handle distributor and sales inquiries, and coordinate with distributor sales teams and winery broker networks.
o Support the President in managing calendars, coordinating meetings, and assisting with travel arrangements.
o Prepare, edit, and distribute correspondence, reports, and presentations.
o Maintain office supplies inventory and order supplies when necessary.
o Assist with filing, record-keeping, and ensuring that sales order processing and sales and marketing operations run smoothly.

•  Support to Sales & Marketing Teams:
o Serve as first point of contact and communication hub for sales brokers, distributor management and sales representatives, and winery management.
o Act as key liaison with IVY Public Relations, assisting with social media management, email marketing, and promotional campaigns.
o Support the sales team with order processing, CRM management, and follow-up with clients.
o Provide information to all trade visitors about the winery’s products and schedule trade tours and trade events.

•  Event Coordination:
o Assist with the planning and execution of winery trade visits and events, such as tastings, tours, and private gatherings.
o Coordinate event logistics, including setup, vendor communication, and on-site support.

Qualifications:
•  Proven experience as an administrative assistant, office manager, or in a similar role.
•  Excellent organizational and multitasking skills.
•  Strong written and verbal communication abilities.
•  Proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Suite.
•  Knowledge of CRM software or winery-specific software is a plus. (MHW and Park Street Importers platforms)
•  Ability to work independently and as part of a team in a fast-paced environment.
•  Customer service experience, preferably in hospitality or winery settings.
•  A passion for wine and willingness to learn about winery operations is a plus.

Preferred Qualifications:
•  Prior experience in the wine or hospitality industry.

Work Environment: This role is based at the winery’s office in Chiles Valley, with occasional evening or weekend hours required for special events. The Sales Operations Assistant will play a key role in representing the winery to clients and ensuring seamless internal operations.

Compensation:
Full Time Hourly Employee - $25 hr.
