Sales and Shipping Coordinator

Job Description:

Established family owned winery is seeking a detail oriented professional to execute the day to day operations for direct-to-consumer customer service and shipping. This is a part-time, job-share role that may have the opportunity to become a full-time position in the future.

The Sales and Shipping Coordinator is the primary point of contact and a vital member of a small team providing unsurpassed customer service to all DTC customers and wine club members. Daily activities include customer service via telephone and email, accurately executing data entry, processing daily orders, and handling all packing and shipping of all outbound wine orders. The Sales and Shipping Coordinator position also assists during quarterly wine club shipments, and schedule inventory management. This position is extremely customer interfacing and can also be physically demanding. It also requires an exceptional attention to details.

Primary Responsibilities
Customer Service:
- Primary contact for all online and wine club orders and customer service inquiries, including customer account maintenance, data entry, and wine shipments
-Understands and provides best in class customer service via phone and email
-Responsible for maintaining an accurate customer database
-Assistance with planning, preparation and execution of events (both on-site and off-site) including managing guest list, set-up/break down, day of event participation, inventory and wine movement

- For daily and quarterly club shipments, manage all customer wine shipments from in house inventory and fulfillment process. Duties include order processing, packing, labeling, coordinating shipping fulfillment partners, tracking orders, returns, etc.
-Administer and oversee limited customer wine shipments processed via third party shipping service
-Administer and oversee all will-call orders for pick-up at the winery
-Manage Special Attention shipping list and customized wine club shipments

Other Duties:
-Weekly, monthly and quarterly inventory counts of DTC wines and shipping supplies
-Support tasting room staff when required; this requires a good customer facing ability
-Welcome Cellar Club members or other customers to the winery
-Tour guide for key customers; this requires the ability to become knowledgeable about the winery, its philosophy, story and wines and to intelligently relate the story to visitors
-Special projects as requested
-Reporting as requested

Skills, Traits and Qualifications Desired
- Takes complete responsibility and ownership of all required tasks and is diligent in prioritizing, delegating and completing them with accuracy and efficiency
-Exceptional customer service skills, including verbal and written communication skills
- Ability to speak to customers professionally with confidence and knowledge about wines, shipments and memberships
- Ability to work independently without significant direction or supervision, following established policies and procedures
- Demonstrates a positive "can do" attitude
- Prior high-touch customer service experience a plus
- Exceptional organizational skills and the ability to keep a neat work environment
- Follows up and sees tasks and shipments through until completion/delivery
- Ability to follow existing procedures while communicating any new ideas for consideration
- Understands the importance of customer service, reputation and has the desire to exceed customer and company expectations
- A quick study who retains information and is able to relay it to staff members
- Strong computer navigation skills
- Ability to work in a fast paced environment with accuracy and efficiency

Minimum Qualifications
1. College-level education preferred, or equivalent practical experience
2. Outstanding communication skills on various media: phone, e-mail, face-to-face
3. Excellent documentation and typing skills
4. Proven skills in problem solving, decision making and prioritizing multiple tasks
5. Software: MS Office applications
6 Attitude is everything – be positive, authentic and fun
7. Understanding of DTC sales within the wine industry
8. 1-year relevant job experience
